Welcome to MuseumStack, a modern, agent-assisted collection management system designed for museums, archives, and galleries.

The Dashboard

Upon logging in, you are presented with the Dashboard, your central command centre for daily operations.

Key Components

• Quick Search: Instantly find any record across the entire collection.
• Recent Activity: A live feed of changes made by you and your team.
• Review Queue: Items or accessions awaiting your approval (role-dependent).
• Statistics: At-a-glance summaries of your museum’s data — total items, recent accessions, active loans, and membership counts.

Application Navigation

The sidebar provides access to all functional areas:

1. Collections: Entries, Catalogue, Accessions, and Deaccessions.
2. Operations: Conservation, Movements, Loans, Research Requests, and Tasks.
3. People & Organisations: Contacts and Locations.
4. Resources: Digital Assets and Library.
5. Members: Membership management and billing.
6. Administration: System settings, users, AI, and collection configuration.

Permissions & Access

Access to the application requires an active account and an assigned role.

• Basic Access (logged_in): Allows access to your profile and basic dashboard widgets.
• Role-Based Access: Most pages require specific permissions defined by your administrator.

Administrators can invite staff, assign roles, and define exactly which features each role can access. See Administration for details.

Cultural Protocols

A core feature of MuseumStack is its integration with Cultural Protocols. The system allows administrators to define strict viewing and access rules — for example, Men’s Business, Women’s Business, Secret/Sacred, or Deceased Persons restrictions — and apply them to specific Items, Accessions, or Contacts.

When a record is protected by a Cultural Protocol, the system automatically redacts sensitive information (images, titles, descriptions) across all views and search results unless the active user explicitly holds the required permission.
