Workflow & Tasks
The Workflow module provides a lightweight task management system for coordinating internal work across your team — photography, conservation follow-ups, data quality reviews, and more.
Task List
Section titled “Task List”Navigate to Operations > Tasks to see all tasks. Filter by:
- Status:
Open,In Progress,Completed. - Priority: Tasks are sorted by priority (High → Low) and then by due date.
- Assigned To: View tasks for a specific staff member.
- Linked Object Type: Filter to tasks associated with a specific module (e.g., Items, Accessions).
Creating a Task
Section titled “Creating a Task”- Click New Task.
- Enter a Title and optional Description.
- Set the Priority and Due Date.
- Assign it to a Staff Member.
- Optionally link the task to a specific object in the system (e.g., a particular Item or Accession).
- Click Save.
The assigned staff member receives an email notification automatically.
Task Detail
Section titled “Task Detail”Open a task to view its full detail, add comments, and update the status. All comments are visible to all users with access to the task.
Asset Review
Section titled “Asset Review”When a digital asset (image, document) is uploaded and flagged for review, it appears in the Asset Review queue. Reviewers can:
- Approve the asset, making it active and attachable to records.
- Reject the asset, returning it for re-upload or removal.
Access the queue via Operations > Tasks > Asset Review.
Permissions Required
Section titled “Permissions Required”Tasks use a museum-level access model — any authenticated user with access to the museum can view and create tasks. No additional permissions are required beyond general login.
